Project Background

Wilkins Inc. is a high-tech research company working in the field of information technology to develop next-generation robots. The organization maintains a highly skilled workforce all around the world that comprises freelancers, telecommuters, and regular employees’ stations away from their home country to conduct research or procure equipment or brain required for the project. The organization has an extensive knowledge management system in place and continually shares the research findings with the necessary personnel to ensure projects can be executed in a coordinated fashion.

Since the requirements for the research project continuously change in the wake of new findings and learning outcomes. Hence, the organization has to spend a significant amount of extra cash to keep employees brisk with the changes and implemented methodologies. The expenses on the training and knowledge sharing have placed many on-going projects under serious jeopardy due to increasing cost constraints. Root cause analysis has shown, that organization requires to cut the expenses undertaken on designing and disseminating training manuals and courses. In doing so the organization can achieve sustainability and can continue financing its projects.

Proposed Project

Training and change communication is a significant element of the research and development projects in Wilkins Inc. hence just eliminating the program is not an option hence organization’s senior management has decided to develop an online database that can be accessed from anywhere at any time so that employees can acquaint themselves on the go and would be able to revisit multiple times at their own pace to understand concepts and deliver a response.

Aim of the Project

The project aims to reduce the cost of training and achieve further competitive advantage by developing an interactive training and knowledge-sharing center that offers more promise. The project will allow employees to get acquainted at their own pace and allow them to revisit records anytime from anywhere.

Scope of the Project

The project is of strategic nature and requires to be implemented at the earliest. The project includes an online training center that will have each employee’s own account. The information will be shared with the designated employees only. The online website will be private and properly secured from any outside attack. In this regard, the project manager is not allowed to procure any outside services and this project will be accomplished by internal resources only. The information is of critical nature hence security is of top priority, the security system must be tested before the content can be upload and the project can go live.

Project Details

Project Time. The project must be implemented in 4 months. The project schedule must be designed to ensure time since the project is a time constraint, not a resource constraint hence more resources can be used to finish the project within time.

Project Budget.  The budget for this project has been designated as USD 300 million. Contingency to address risk has to utilize from this budget and the cost of hiring additional resources if required. Senior management accepts projects to be completed within budget.

Quality. The performance during the project must be enhanced and improved. No bugs or errors will be tolerated the project must provide flawless security in order to implement project. The training and knowledge-based communication must remain secure.
