1. Project Integration Management

1.1 Project Proposal [Project Charter]

1.1.1 Project Scope Statement

The scope of this project is to adopt and implement a cloud-based grant management system that can help the Jane carpenter foundation in managing their grants which come from all over the world. The system would help in the submission, approval, and payment process of the organization. The framework can be gotten to from any place on the planet that has web access through a website page or cell phone application. Access rights can be overseen inside for both organizational individuals and those people demanding grants and different partners, for example, board individuals or donors. Furthermore, through this project of grant system, the foundation will allow or disallow or allow read-only access to users. The grant process will go through different stages.  The scope of this venture will incorporate the setup of the Award Force System to meet the necessities set out by the Jane Carpenter Foundation including setup of the required interfaces, information relocation, testing, staff preparing (counting manuals), and change administration.

1.1.2 Project Objective

  1. To provide ease to the users through implementation of Grant management system.
  2. To increase productivity of Jane Carpenter Foundation in managing grants

1.1.3 Project Constraints

  1. There is limited budget for the project which could act as biggest constraint
  2. This project is full time project which could not get completed if project staff require leave due to any reason.
  3. The project need to get accomplished till the end of February 2018.

Project timeline activities include several tasks i.e.

  • Testing network connectivity (1-4 weeks)
  • Set up Award Force Page (2-4 weeks)
  • Applications forms (2-4 weeks)
  • Account setup (2-3 Weeks)
  • Training Staff (4-6 Weeks)
  • Data Migration (4- 10 weeks)
  • Trial the new system (2-8 weeks)
  • Marketing (From previous step onwards)
  • Go live with system (4-24weeks)
  • Review (From previous stage onwards)
  • Phasing out system (Jan 28- Feb 28)
  • Finalising the new system

1.1.6 Project organisation

Roles and responsibilities

  1. Fundraising Division: fundraising division of the project refers to such a division that is responsible for formulating strategies and raising funds for the project. This makes the department more essential to stakeholders.
  2. Community Fundraisers: small communities’ fundraisers act for raising funds for the foundation which is why they will also be taken into consideration.
  3. Public Relations Department: public relations department’s role will be to assist every other department especially the fundraising department which generates funds. It provides input to all departments.
  4.  Grant Collection Department: this part of the foundation serves as a collector for funds from different communities. The Grant management system of the project will serve this department in order to fulfill the divisional demands.
  5. Top-Level Management: Roles and responsibilities of top-level management will be to lead every department in the foundation. The project will be reported to and managed by top-level management of the foundation while they also approve all changes required in the project.

2. Project Quality Management:

2.1 Project Management

Project management is most critical step which needed to be done in order to ensure success of the project. It includes quality management, assurance and controlling processes which significantly contribute in performance of the project. Enterprise resource planning project will incorporate effective techniques and strategies for ensuring the management of quality as it is most influential factors which impact on success of the project. Total quality management system will be adopted by the project manager in order to ensure project quality. This strategy or approach refers toward complete monitoring and assurance of project quality.

Through the implementation of quality control, assurance, and monitoring plans, the project manager will build the culture of quality which is implemented through developing plans, setting targets, and implementation. Effective monitoring processes for quality assurance and control are also imperative parts of enterprise resource planning projects.  Furthermore, the total quality management process includes rechecks of the quality and specifications of the projects in order to reduce the chances of failures or defects. Quality checks include basic performance checks including all primary functions, extra and technical features. Every activity which directly and indirectly relates to project success gets monitored and rechecked by the project manager as confirmation of quality. Thus, the combination and presence of all quality features confirm the performance of the project and help the project manager in achieving strategic objectives and goals.

2.2 Project Quality assurance and control systems

Quality assurance, maintenance, and control systems- These are influential elements that could increase or decrease the cost of the project. Success and quality assurance of the project could reduce the cost for the project as it enhances the project efficiency and in return reduce the cost. While on the other hand, failure of quality could enhance the cost of the project because it requires reworks and reassessments, etc.

 2.3 Configuration Management

The configuration management plan of this project includes specific process and procedures which include in the accomplishment of the project life cycle. It involves different roles and responsibilities for planning effective management.  It acts as a legal and imperative part of quality management.

This project of having a cloud-based framework will enable the project manager to meet Jane Carpenter’s objectives. This will enhance the efficacy of the foundation and saves huge setup fees for the company.
